Job Title: Office Manager - Unilever Ventures

JOB PURPOSE

Based in the UV offices in St. James’s, in the heart of the West End of London, the primary focus of this role is to offer administration support for the team and its operations, as well as personal assistance as required to the UV team.

The role will require the successful candidate to manage the day to day running of the office and be the key contact for office facilities and building management.

This person acts as the front of house representative both for the physical office and all general telephone calls into the Company.

The role also supports the closing of investment transactions.

The UV team is made up of the 2 Managing Partners, 3 Partners, 2 Principals, 4 Investors and 4 support roles across our London and Mumbai offices.

RESPONSIBILITIES

Office management

  • Responsible for day to day running of the London Office

    Facilities and meeting room management

    Managing purchase order / goods receipts for facilities costs

  • Act as liaison and first point of contact with Unilever and 3rd parties on building services, business continuity planning, office services and property issues.
  • Key role on delivering office move expected in June 2023

Transaction support

  • Administrating Anti Money Laundering checks
  • Creating transaction purchase orders, ensuring right first-time payment
  • Transaction close support (legal bibles, share certificates, filings, master data updates in deal document database).

Team / Personal Assistant support to London management team

  • To assist team in diary / meeting management and travel arrangements where required

Front of House responsibilities

  • Meet and greet visitors ensuring their individual needs are planned for
  • Meeting room management
  • Telephone reception (less frequent post COVID)

ALL ABOUT YOU

  • Previous office administration, PA or operations experience
  • Be confident and have an ability identify individual needs and deliver improvements without constant direction
  • To be proactive in anticipating problems and issues
  • Must be able to work to deadlines and be prepared to work flexibly when necessary

Recruitment Fraud

Cyber criminals advertise fake job adverts with prestigious employers as a way of stealing information or even defrauding individuals out of money. In the most sophisticated cases, they will set up fake websites, which have a similar address to companies like Unilever. They even conduct fake telephone interviews and then offer candidates a role with the proviso they pay a fee for background checks or to cover work visa costs. These types of attacks are becoming more common as more people are looking for employment in the economic climate.

How is Unilever tackling this?

Many of Unilever’s recruitment sites publish a warning to candidates about recruitment fraud. The Cyber Security team also proactively scan for signs of people setting up fake Unilever sites and act to close them down.
