Who You Are & What You’ll Do
The Senior Administrative Coordinator will manage the daily operations and administration of the Global Skin Cleansing and NA Personal Care R&D Leadership team based in Trumbull, CT.
The role requires skill at managing complex calendar and travel schedule, leading the team calendar and events schedule, the ability to interact confidently with senior leadership and manage the demands of the diverse Global team. The individual will have the ability to use judgement to make great decisions and optimise the efficiency and effectiveness of the leadership team. This role requires interaction with a wide range of people, globally across Unilever markets, respective Brand and R&D communities.
There will also be both virtual and face to face meeting coordination with a wide range of travel requirements for the leadership team in addition to supporting international visitors to the market. Responsiveness to the changing meeting coordination will be required, hence the ability to multi-task for this leadership team will be critical.
Calendar management including assessing competing priorities and anticipating requirements, filtering and prioritising
Organising international travel, including preparation of itineraries, visas etc together with management of out of office requirements.
Leading forward planning of meeting schedules, ensuring agenda and meeting content are delivered on time in full
Preparation of presentations and other materials for meetings
Organisation and administration of local meetings & visitors – coordinating all logistics ie: attendees, timings, equipment, and rooms.
Organising international meetings using knowledge of technologies available to deliver the most appropriate solution
Co-ordination of expenses and invoice processing
Pro-actively tackling issues related to administrative processes to ensure speed and efficiency.
Support starter/leaver admin process for the team
Supporting finance in T&E and budget management, including leading the new vendor process and raising purchase orders.
Maintain and communication organization roster, town hall information, announcements and meeting minutes for the full team.
What You’ll Need To Succeed
5+ years of experience in support roles or Administrative supporting Executive / Large Teams in a corporate environment.
Minimum High School diploma, Bachelor's degree strongly preferred
Strong IT skills in MS Office 365 (Excel, PowerPoint, OneDrive, Outlook, SharePoint etc.)
Strong interpersonal skills, teamwork and collaboration skills
Multi-tasking skills and ability to manage multiple different teams and help coordinate across multiple time zones. Being able to anticipate the teams and a comfort in maintaining multiple, often conflicting, priorities and requests
Excellent organizational, planning and project management skills
Strong analytical and problem-solving skills
Ability to maintain confidentiality and exercise independent judgment consistent with department guidelines
Proficient in Coupa (Spend and Supplier Management System) or other similar system preferred
Must be proactive with ability to work without constant supervision
Pay: The pay range for this position is $ 55,700 - $83,500. Unilever takes into consideration a wide range of factors that are utilized in making compensation decisions including, but not limited to, skill sets, experience and training, licensure and certifications, qualifications and education, and other business and organizational needs.
Bonus: This position is bonus eligible.
Long-Term Incentive (LTI): This position is LTI eligible.
