About the Role

The Product and Design organization is looking for an experienced Executive Assistant Business Partner I to support executives within the Product & Design org and provide complex executive support to the organization's leaders. This role will provide high-level administrative and program support across various teams. Knowledge of the complexities of tech teams working across Product and Engineering are essential to the success of this role.

The team is looking for a dynamic EABP who is always willing to learn and fully immerse themselves within the team. The ideal candidate is someone who is willing to go beyond the day-to-day responsibilities of an Executive Assistant and demonstrate the ability to contribute to a complex team as a Business Partner - attending meetings, taking notes, planning events, while also collaborating with a complex team of EABPs, Program Managers, Product Managers and other stakeholders across the company.

What You'll Do

Calendar & Meeting Management

  1. Strategic Scheduling: Manage complex Google Calendars by vetting and prioritizing requests and providing recommendations to optimize the leader’s time.
  2. Meeting Preparedness: Ensure the leader is fully briefed, provided with necessary materials, and remains on schedule for all engagements.
  3. Stakeholder Coordination: Facilitate and manage scheduling for high-level meetings involving multiple internal and external stakeholders.
  4. Technical & Physical Logistics: Navigate complex conference room landscapes and manage technical setup for seamless meeting execution.

Executive Support & Operations

  1. Governance & Tracking: Support leadership meetings by capturing detailed notes and tracking action items to ensure accountability.
  2. Project Oversight: Drive results by providing proactive reminders and follow-ups on project deadlines, deliverables, and outstanding action items.
  3. Facilities & Space Planning: Assist with space planning and office logistics to support team growth and physical environment needs.

Travel & Expense Management

  1. Global Travel Coordination: Execute domestic and international travel arrangements, including detailed itineraries, visa processing, and remote logistics support.
  2. Financial Administration: Manage the end-to-end expense process, ensuring timely submission and compliance with corporate policies.
  3. Budgetary Oversight: Monitor team morale budgets and provide feedback/auditing for team-wide expense reports.

Event Planning & Special Projects

  1. Event Coordination: Lead the planning and execution of large-scale events, including Team Summits, All-Hands meetings, and Quarterly Business Reviews (QBRs).

Basic Qualifications

  • Minimum 2+ years of administrative experience for EABP I role

Preferred Qualifications

  • Minimum 4+ years of administrative experience preferred for EABP I role
  • Minimum 2+ years experience supporting a VP-level leader or above in any scoped business or a Director-level leader or above in a global business for EABP I role

For San Francisco, CA-based roles: The base hourly rate range for this role is USD$44.24 per hour - USD$49.05 per hour.
