Context and Environment

  • Extensive interaction across organizational functions and business units, including: Human Resources, Comp & Benefits, IT, Cost Center Managers, Employees, Finance, Risk Management, Internal Control, and Third-Party Vendors.
  • Engagement across geographic and branch organizations, including RC, EP, and Renewables.
  • Responsible for end-to-end payroll operations across 14 U.S. affiliates, covering both salaried and hourly employees.
  • Oversight of payroll for 11 industrial sites, and approximately 2,500 employees, including ~150 international assignees
  • Management of ~$325 million in wages and ~$20 million in payroll taxes
  • Oversight of payroll tax compliance for 10 affiliates and multi-state filings (~36 states).
  • Overall responsibility for the processing of payroll cycles, for all categories of employees and payroll schedules, ensuring accuracy, timeliness, and compliance to applicable regulations.
  • Accuracy of salary computations, deductions, garnishments, tax reporting and timeliness of payments.
  • Accuracy and timeliness of employee W2s payroll related account reconciliation in coordination with the Finance/Accounting group.

Payroll Oversight & Vendor Management

  • Review and approve payroll reports, adjustments, and reconciliations.
  • Manage the relationship with the payroll outsourcing provider to ensure service quality and compliance.

Employment Tax Management

  • Oversee all employment tax obligations including withholding, deposits, and filings.
  • Review Forms 941, W-2, W-2c, and 940.
  • Monitor employment tax regulatory changes.
  • Manage tax authority audits and inquiries.
  • Ensure accurate taxation of compensation, benefits, equity, and global mobility income.
  • Oversee tax matters for international assignees.

Compliance & Controls

  • Ensure payroll practices comply with federal, state, and local regulations.
  • Maintain internal controls and audit trails for payroll transactions.
  • Oversee internal and external audits related to payroll.

Data Management & Reporting

  • Collaborate with HR and Finance to ensure accurate employee data is maintained.
  • Generate and analyze payroll reports for management, finance, and audit purposes.
  • Monitor payroll metrics and KPIs to identify trends and areas for improvement.

Employee & Team Management

  • Lead and manage the payroll team, providing guidance, coaching, and performance management
  • Oversight of responses to employee payroll-related inquiries and issue resolution.
  • Educate employees on payroll policies and procedures.

Systems, Process Improvement & Automation

  • Identify opportunities to streamline payroll processes and enhance vendor performance.
  • Lead payroll system upgrades, integrations, and automation initiatives.

Candidate Profile

Qualifications / Experience Required

  • Bachelor’s degree in a numerate discipline or related field.
  • 10-15 years Payroll Operations and tax compliance experience
  • Certified Payroll Professional (CPP) designation required.
  • Strong knowledge of US Payroll operations, regulations and compliance.
  • Experience with outsourced payroll and SaaS HRIS platforms (UKG, Workday or Successfactors).
  • Exceptional attention to detail and discretion.
