The Manager, Executive Office serves as trusted, high-level administrative support to the President of FIJI Water, and oversees all daily operations, administrative tasks, and ensures efficient workflow within the organization. This role will oversee strategic planning initiatives that support overall organizational objectives and administrative processes and will have dotted-line responsibility for the administrative staff. They are responsible for ensuring the President’s time, priorities, and initiatives are managed with precision, discretion, and foresight.
This role requires a proactive mindset, exceptional organizational skills, and the ability to anticipate needs before they are requested. This role is crucial for maintaining efficient workflows and supporting the overall success of the organization. They will handle confidential materials with the utmost discretion and serve as a central liaison between the President and stakeholders at all levels. This is a role for a quick-learner that is upbeat, high energy, with a ‘can-do’ attitude that exudes positivity. The successful candidate will thrive in a structured environment with multiple priorities, balancing important and sometimes urgent demands with meticulous attention to detail. This position operates in a corporate office setting with occasional on-site support for events, meetings, and departmental activities. The role requires flexibility, adaptability, and a proactive approach to problem-solving.
This position will be based at our West Los Angeles, CA office. We work a hybrid schedule with an in-office requirement Monday-Wednesday and the option to work remotely on Thursday and Friday.
Job Description
Executive Support to the President
- Manage a very active calendar of meetings, travel, and commitments, ensuring priorities and deadlines are met and that all details are meticulously thought out and communicated.
- Continuously update and communicate with the President via phone and in person.
- Anticipate needs and prepare materials for meetings, presentations, correspondence, and calls.
- Communicate with executive, administrative and line management to gather/communicate relevant information
- Arrange complex travel itineraries with contingency plans.
- Complete and submit accurate expense reports within policy deadlines.
- Draft, proofread, and prepare confidential correspondence and reports.
- Maintain strong relationships that support the President’s success.
- Provide administrative support for special projects and cross-departmental initiatives.
Dotted-Line Supervision of Administrative Staff
- Dotted-line responsibility to manage and lead a team of administrative professionals, ensuring that daily tasks are completed efficiently and effectively
- Coordinate Office Procedures across the staff to streamline operations and improve efficiency
- Manage office resources and oversee the management of supplies, equipment, and facilities, ensuring a well-organized and productive work environment
Operational & Administrative Excellence
- Oversee strategic planning initiatives that support overall organizational objectives and improve administrative processes
- Prioritize and resolve conflicting demands, handling matters expeditiously and with sound judgment.
- Gather, analyze, and summarize information from multiple sources into clear, concise reports highlighting key insights, trends, and action items.
- Support tracking and oversight of budgets, timelines, and operational updates.
- Maintain organized digital and physical files, ensuring secure handling of sensitive materials.
Events & Departmental Coordination
- Plan and organize department offsites, events, and meetings while maintaining budget discipline.
- Coordinate logistics for internal and external meetings, ensuring seamless execution.
Professionalism & Confidentiality
- Handle sensitive information with the highest level of discretion.
- Follow the spirit of teamwork, cooperation, and mutual respect with colleagues at all levels.
Communication & Coordination
- Serve as a professional point of contact for internal and external stakeholders.
- Screen incoming calls and correspondence and respond independently on behalf of the Chairman.
- Facilitate clear and timely communication between executives, staff, and customers.
- Follow up on action items and ensure completion of assigned tasks.
Qualifications
- Minimum of 7years of executive-level administrative experience, supporting senior leadership, with a proven ability to manage high-volume, complex responsibilities.
- Bachelor’s degree preferred; equivalent work experience with a proven record of success in high-level executive support will be considered.
- Prior experience leading a team of administrative professionals is preferred
- General exposure to software such as SAP Concur, PowerBI, Smartsheet, Inspyrus, Yardi, and/or Oracle Fusion is a plus but not required.
- Proven ability to anticipate needs, think critically, and offer solutions proactively.
- Exceptional organizational skills, with the ability to manage multiple priorities under deadlines.
- Strong written and verbal communication skills; capable of drafting professional correspondence and reports.
- Ability to lead and motivate a team, including team delegation and performance coaching, fostering a positive work environment
- Project management experience, including the ability to plan timelines, assign tasks and monitor progress towards objectives
- Strong grasp of office management procedures, including workflow optimization, facilities coordination and administrative compliance
- Experience reviewing financial documents such as budgets, purchase orders, invoices and expense reports, with an understanding of internal controls and cost tracking
- High level of discretion and integrity in handling confidential information.
- Detail-oriented, with a talent for converting complex data into concise, actionable summaries.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams).
- Strong interpersonal skills with the ability to build trust and credibility quickly.
- Exceptional organizational, time management, and multitasking skills, with the ability to prioritize effectively in a fast-paced and dynamic environment.
- Strong written and verbal communication skills, with a professional and personable demeanor suitable for interacting with executives, stakeholders, and colleagues at all levels.
- Advanced proficiency in calendar management, travel coordination, expense report processing, and preparation of executive correspondence and reports.
- Demonstrated ability to handle confidential and sensitive information with the highest level of discretion, exercising sound judgment in all matters.
- Proactive and anticipatory mindset, with a commitment to excellence and a focus on streamlining processes, solving problems, and improving operational efficiency.
Pay Range: $100,000 - $110,000 and may include a discretionary bonus. Final compensation will be dependent upon skills & experience.
