The Administrative Assistant serves as an essential member of the Human Resources team with the primary responsibility of ensuring continuous assistant coverage for the President, Senior Vice Presidents, and Executives of The Wonderful Company. The Administrative Assistant covers a broad range of administrative and office management tasks and has extensive exposure to the leadership of The Wonderful Company. They are efficient, professional, and organized. This role reports to the Sr. Director, Human Resources.

The Administrative Assistant is a key contributor to the Human Resources team, providing seamless administrative support and ensuring uninterrupted coverage for the President, Senior Vice Presidents, and Executives of The Wonderful Company. This role requires a highly organized, professional, and resourceful individual who excels at managing diverse administrative and office management tasks while maintaining discretion and efficiency. The Administrative Assistant interacts extensively with company leadership, supporting strategic initiatives and contributing to a smooth, high-functioning executive environment. This position reports to the Sr. Director, Human Resources.

This position will be based at our West Los Angeles, CA office. We work a hybrid schedule with an in-office requirement Monday-Wednesday and the option to work remotely on Thursday and Friday.

Job Description

  • Provide essential coverage for Executive Assistants while they are out of the office or require additional support and coverage for receptionists on breaks and vacations.
  • Utilize excellent organizational skills to maintain complex calendar management including meeting scheduling, travel arrangements, accommodations and other transportation plans.
  • Ensure conference rooms are well-maintained and available for use.
  • Assist with the day-to-day functions of our Wonderful Property Management team, stock kitchens, replenish office supplies and assist with the company store.
  • Maintain a professional and polished demeaner, with flexibility to adjust to changes in your day.
  • Deliver seamless coverage and support for Executive Assistants and reception staff during absences, breaks, or periods of high demand, ensuring continuous executive and administrative support.
  • Manage complex calendars with precision, coordinating meetings, travel, accommodations, and other logistical arrangements to support executives efficiently.
  • Support day-to-day operations of the Executive floor, including stocking kitchens, replenishing office supplies.
  • Exhibit professionalism, adaptability, and a polished demeanor while adjusting to shifting priorities and dynamic work demands.
  • Collaborate across teams to enhance office efficiency, communication, and overall workplace experience.
  • Proactively manage and coordinate all executive floor requirements, from food stock to office essentials, ensuring leaders have everything needed for smooth operations and meetings.
  • Coordinate and place building-wide grocery and snack orders in accordance with The Wonderful Company’s snack program, ensuring consistent stock levels and meeting executive floor needs.
  • Coordinate and manage the new employee headshot program, ensuring timely scheduling, professional photography, and seamless integration into company records.
  • Demonstrate flexibility and adaptability by supporting a variety of projects and adjusting schedules as needed to meet evolving business and executive needs.

Qualifications

  • Minimum of 1 year of experience (internships applicable), with experience supporting Executives and participating in office management
  • Four-year degree in Communications, Business Administrator, or a related field preferred
  • Strong knowledge of Microsoft Office products with the ability to format presentations and develop basic reports.
  • Proven ability to exhibit poise and confidence while aiding in a variety of functions.
  • Possess high level of organization, attention to detail and discretion with a high sense of urgency.
  • Ability to handle matters of confidentiality with utmost tact and diplomacy.

Pay Range: $28.00 - $30.00 hour. Final compensation will be dependent upon skills & experience.
