UX Research Ops Specialist II (Remote Eligible)

At Smartsheet, insights fuel innovation. Our UX Research team brings those insights to life, and our Research Operations practice makes that possible. As a UX Research Operations Specialist II, you’ll create the systems, tools, and processes that help researchers deliver impact at scale. You’ll partner with researchers, designers, and product teams to streamline recruitment, improve knowledge sharing, and ensure our practice runs smoothly. This is a chance to grow within an evolving function, strengthen our operational backbone, and help shape how research informs products used by millions.
You will report to our UX Research Director, who is located remotely, and you may work from anywhere in the US where Smartsheet is a registered employer.
You Will:
- Run participant recruitment: Manage full recruitment cycles (targeting, screening, scheduling) while maintaining databases and improving tools.
- Streamline processes: Collaborate with your manager and team to prioritize initiatives, refine roadmaps, and make incremental improvements to workflows, policies, and governance.
- Support tools and vendors: Help procure, manage, and evaluate research tools and platforms; coordinate with vendors as needed.
- Ensure compliance: Support adherence to privacy, legal, and ethical standards in recruitment, data handling, and governance practices.
- Enable teams: Create templates, guides, and training resources to help researchers and partners self-serve operational needs.
- Own and organize: Take initiative on operational tasks, manage complex project documentation, and ensure knowledge is systematically stored and accessible.
- Communicate with impact: Share complex information clearly, adapt presentations to different audiences, and establish yourself as the go-to partner for research operations.
- Track resources: Contribute to budget tracking for research tools, vendors, and participant expenses.
You Have:
- Experience in UX Research Operations, Product Operations, or Design Operations (or a closely related operational/enablement role).
- Strong organizational skills for managing workloads and documentation, with a track record of taking initiative and delivering consistently.
- Clear communication skills—able to simplify complexity, share updates confidently, and adapt presentations for different audiences.
- Proactive stakeholder engagement and the ability to earn trust across teams.
- Hands-on experience with participant recruitment cycles and familiarity with research tools, platforms, and vendor management.
- Comfort with compliance in participant recruitment, data handling, and governance practices.
- A mindset for continuous improvement—always seeking ways to optimize and scale processes.

Smartsheet provides a competitive base salary range for roles that may be hired in different geographic areas we are licensed to operate our business from. Actual compensation is determined by several factors including, but not limited to, level of professional, educational experience, skills, and specific candidate location. In addition, this role will be eligible for a market competitive incentive opportunity.
