We are looking for an exceptional, proactive, and highly organized Executive Assistant (EA) to provide comprehensive administrative and strategic support to our Chief Executive Officer (CEO), Chief Operating Officer (COO), and Director, Business Operations. This role will be based onsite in our San Francisco office.
The Executive Assistant will be responsible for managing complex calendars, coordinating high-level communications, orchestrating travel, submitting expenses, and managing critical projects to ensure the executives can maintain maximum focus on Quantcast's strategic goals and operational excellence. Discretion, attention to detail, proactive action in order to anticipate needs before they arise are paramount to success in this position.
What you'll do:
- Proactively manage and maintain intricate calendars for the CEO, COO, and Director of Business Operations, including scheduling internal and external meetings across multiple time zones. Prioritize conflicting demands and ensure adequate preparation time for all engagements.
- Seamlessly coordinate and book extensive domestic and international travel, including detailed itineraries across multiple time zones, flights, accommodation, and ground transportation. Manage and process expense reports in a timely manner.
- Skilled at managing up and setting boundaries with senior stakeholders.
- Act as a professional and discreet liaison, fielding and prioritizing all incoming communications (phone, email, mail) for the executive team.
- Draft, proofread, and edit external correspondence, presentations, and reports.
- Scheduled and prepare all necessary materials for meetings, including compiling, printing, and distributing board packets, presentation decks, and reports.
- Attend key executive meetings to track action items and follow up on behalf of the leaders to ensure timely completion.
- Lead or assist with special projects and initiatives as assigned by the executive team, ensuring deadlines are met and deliverables are high-quality.
- Develop and implement administrative systems and processes to improve efficiency within the executive offices and the broader leadership team's operations.
- Coordinate internal and external events, off-sites, and company functions led by the executives, managing all logistical details from venue booking to vendor relations.
- Handle sensitive information and maintain the highest level of confidentiality and professional discretion in all aspects of the role.
- Collaborate with the Workplace team on special projects, etc.
- Occassional travel as required.
Who you are:
- Experience: Minimum 5 years of experience as an Executive Assistant supporting C-level executives (CEO, COO, President) in a fast-paced, high-growth technology or media company.
- Certifications preferred
- Exceptional organizational and time-management skills with proven ability to juggle multiple priorities and execute tasks with flawless attention to detail.
- Outstanding written and verbal communication skills, demonstrating the ability to interact professionally with all levels of staff, clients, partners, and the Board of Directors. You will understand how to balance urgency with tact, driving action items and projects with vigor while respecting your colleagues and their priorities.
- Expert proficiency in Google Workspace, MS Office tools, and familiarity with video conferencing tools. You will have a desire to learn and leverage emerging AI solutions to increase your own and the broader team’s effectiveness.
- Experience working with cross-functional leaders across multiple timezones.
