Overview
Project Manager (PM): The PM is responsible for efficiently managing the day-to-day, tactical implementation of projects on time and within budget. Key responsibilities include:
- Directing the implementation approach within the Account team, Clinical Services, and shared service departments.
- Ensuring deliverables are met and timelines are managed.
- Demonstrating strong skills in organization, time management, communication (both written and verbal), and multitasking.
- Proactively driving project completion.
Responsibilities
Core Areas of Responsibility
1 . Business Knowledge / Operational Practices
- Basic working knowledge of the therapeutic area and product.
- Understanding of the medical education and pharmaceutical industries.
- Support and draft submissions for the AM/AD with medical, legal, and regulatory (MLR) knowledge.
- Manage virtual platforms and organize folders and files on the agency server.
- Drive the consultant/speaker contract process and adhere to agency standard operating procedures.
- Conduct research and liaise with congress and association leadership for sponsorship opportunities.
- Coordinate with internal stakeholders and outside vendors to ensure timely delivery of services.
- Provide mentorship and training opportunities to PC/SPC.
- Work on a variety of project types, ensuring adaptability and comprehensive project management.
- Perform other related duties as assigned.
2. Individual Effectiveness / Job Knowledge
- Ability to be self-motivated and capable of working independently with minimal supervision.
- Understand project deliverables and required support for flawless execution.
- Develop project timelines and collaborate with Meeting Operations for registration sites and surveys.
- Facilitate HCP payments, state reporting, and manage the debarment process.
- Prepare and ship materials to meeting sites and support client status meetings.
3. Communication
- Provide clear and effective communication across internal teams and external vendors.
- Develop materials and communications with meticulous attention to detail.
- Manage HCP communications and review PC drafts.
- Co-lead kick-off meetings, status meetings, and post-meeting debriefs.
- Prepare and distribute weekly status reports and meeting minutes.
- Lead internal status meetings.
4. Time Management
- Maintain exceptional organization with effective time management and multitasking skills.
- Ensure adherence to project timelines in Monday.com and adapt to client changes.
- Prioritize tasks based on client direction and urgency.
- Coordinate with internal departments and external vendors to manage deadlines and deliverables.
- Maintain flexibility to adjust work hours based on workload and client needs.
5. Budget Management
- Obtain vendor quotes and negotiate optimal pricing.
- Ensure vendor quotes are within budget and final invoices are received timely.
- Assist in managing HCP payments and state reporting.
- Submit invoices and job code request forms to Finance.
- Request reconciliations from Finance and review invoices for accuracy.
Qualifications
- Bachelor's degree in communications, marketing, business, or a related field is required.
- Ability to travel as business needs dictate.
- Strong organizational, time management, communication (both written and verbal), and multitasking skills.
- Proactive in driving project completion and ensuring deliverables are met within timelines and budget.
- 1-2 years of experience in a medical communications agency or 1 year of p-value experience, with the ability to independently and efficiently perform all tasks and responsibilities of the Senior Project Coordinator (SPC) role.
- Proven ability to manage multiple projects simultaneously and prioritize tasks effectively.
- Strong problem-solving skills and the ability to adapt to changing project requirements.

Compensation Range: $60,800 - 80,000 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
