Overview
Project Coordinator (PC): Handles operational components of multiple concurrent projects, applying sound judgment and organizational expertise to ensure timely and compliant execution. Collaborates cross-functionally with internal teams and external partners to support strategic project goals, with minimal supervision once onboarding is complete.
Responsibilities
Core Areas of Responsibility:
1. Business Knowledge/Operational Practices:
- Learn the medical education and pharmaceutical industry, including regulatory requirements and industry best practices.
- Dedicated to following the agency's standard operating procedures.
- Understand assigned projects and deliverables, ensuring that support aligns with company quality standards.
- Organize folders and files on the agency server and in client shared folders.
- Manage calendar holds for assigned projects. Research congress dates, advertising opportunities, and Non-CME events, if applicable.
- Perform other related duties as assigned to support the overall objectives of the department and organization.
2. Individual Effectiveness/Job Knowledge:
- Draft meeting materials and communications for PM/AM review.
- Support PM/AM with medical/legal/regulatory (MLR) submissions and understand the client’s MLR review process.
- Assist with MLR submissions for meeting materials requiring MLR review, ensuring compliance with regulatory standards.
- Ensure all project materials and documents are up to date.
- Develop and route packing lists for meetings and help prepare and ship materials.
- Support PM/AM in securing vendor quotes and coordinate print production as needed.
- Support PM/AM with HCP payments and state reporting with the Account and Finance teams, ensuring timely and accurate processing.
- Submit invoices and job code request forms to Finance.
3. Execution/Attention to Detail:
- Draft, update, and manage project timelines in Monday.com in collaboration with the PM/AM.
- Support PM/AM in managing deadlines and deliverables.
- Work efficiently to ensure projects remain on task and prioritize tasks based on needs.
- Enter accurate time regularly on time.
- Review work for accuracy and completeness.
4. Communication:
- Review and incorporate edits into materials as directed by PM/AM
- Attend meetings, take notes, and provide draft minutes to PM/AM
- Prepare weekly status reports for internal and client meetings
- Ensure clear communication across internal teams and with external vendor
Qualifications
- Education: Bachelor's degree in communications, marketing, business, or a related field is required.
- Travel: Must be able to commute to our New Jersey office as needed and travel for business requirements.

Compensation Range:$40,280 - $50,900 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
