Role Overview
Supports the day-to-day coordination and deployment of creative resources across assigned accounts and projects. Partners closely with the Creative Resources Director to maintain accurate schedules, track workloads, and ensure creative teams are set up for success. Acts as a key operational link between Creative, Account Management, and Project Management to keep work moving efficiently and on time.
This role is detail-driven, proactive, and foundational to the smooth functioning of the creative workflow.
Responsibilities
- Supports the Creative Resources Director by maintaining up-to-date resource schedules and workload trackers
- Attends status and traffic meetings to capture changes in scope, timing, or priorities
- Tracks incoming work and flags potential resourcing conflicts or capacity risks
- Ensures accurate documentation of assignments, timelines, and staffing assumptions
- Assists in reviewing new briefs to understand scope, timing, and creative requirements
- Prepares draft staffing options based on availability, skill sets, and workloads
- Coordinates creative briefings by scheduling meetings, confirming attendees, and distributing materials
- Ensures creative teams are informed of assignments, timelines, and expectations
- Partners with Project Management to support workflow from brief through delivery
- Maintains day-to-day accuracy of creative schedules, assignments, and changes
- Tracks resource utilization and supports reporting on capacity, efficiency, and workload balance
- Communicates schedule updates clearly and promptly to relevant stakeholders
- Helps identify patterns of over- or under-utilization and escalates insights to the Creative Resources Director
- Supports process improvements related to resourcing, tracking, and communication
- Acts as a reliable point of contact for creative teams regarding scheduling and assignment questions
Qualifications
- 2-3 years of experience in resource management or project traffic (ideal in agency or creative studio)
- Strong organizational skills with the ability to manage multiple priorities simultaneously
- High attention to detail and accuracy in schedules, staffing plans and reporting
- Clear and professional communicator across Creative Account, and Operations teams
- Comfortable working in a fast-paced, deadline-driven agency environment
- Proactive problem-solver who flags conflicts and capacity issues early
- Demonstrates curiosity and a desire to understand creative roles, workflows, and agency processes
- Adaptable and calm under pressure; responds well to shifting priorities
- Collaborative, service-oriented mindset with a positive, solutions-focused attitude
- Strong work ethic and a willingness to learn and grow within resource management
- Confident using resource management tools, schedules, and basic reporting systems
