Overview
The Supervisor, Operations supports the VP of Operations in managing the day-to-day operational, financial, and administrative functions of the agency. This role helps maintain smooth internal processes across teams, overseeing billing, forecasting, reporting, vendor contracts, and systems access. The ideal candidate is organized, detail-oriented, and proactive, with strong analytical and communication skills.
Responsibilities
Financial & Billing Operations
- Manage monthly invoices, client billing reconciliations, and internal financial reporting across all accounts.
- Partner with Finance on AR/AP questions, tracking payments, and maintaining budget accuracy.
- Support annual and quarterly forecasting, expense tracking, and budget management.
- Prepare and track authorizations, purchase orders, and proof-of-performance documentation.
- Ensure compliance with internal and client financial procedures, systems, and coding requirements.
Contracts & Business Affairs
- Liaise with Business Affairs and Legal on contracts, MSAs, insertion orders, and vendor partnerships.
- Maintain organized documentation and tracking for active contracts, renewals, and SOWs.
- Support onboarding and maintenance of new vendor and client accounts.
Operations & Project Management
- Monitor and improve operational workflows across departments to ensure efficient project delivery.
- Create and maintain process documentation and training materials for new tools or procedures.
- Partner with department leads to ensure accurate resourcing and project tracking.
- Coordinate access management across internal systems and platforms.
- Identify process gaps and propose improvements to streamline operations.
Reporting & Systems
- Manage and maintain operational data from various platforms
- Compile reports and dashboards to track key operational and financial metrics.
- Support system implementations, upgrades, and rollout of new tools across teams.
Qualifications
- 3+ years of experience in operations, finance, or project management, preferably in a media or advertising agency.
- Solid understanding of billing and financial tracking processes; experience with forecasting or budget management.
- Comfortable navigating contracts, SOWs, and MSAs.
- Strong attention to detail with the ability to run multiple priorities in a fast-paced environment.
- Proactive problem solver with strong organizational and communication skills.
- Experience with media or financial systems.

Compensation Range: $85, 580 - $98.450. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
