Overview
The Project Manager will manage the delivery of projects across the Partnerships & Engagement (P&E) team. This role is responsible for managing project plans, operations, team workflows, and creative processes to ensure execution is smooth, strategic, and aligned to business goals.
This is not a traditional PM role. We are a small, high-performing team that requires someone who understands how workflows, can anticipate needs, and can take initiative—without waiting for answers to be handed over.
The ideal candidate is a doer and a thinker, someone who builds clarity out of ambiguity, collaborates deeply with creative and strategic teams, and can see both the big picture and the fine details. They are resourceful, solutions-oriented, confident managing through complexity, and not afraid to push back, raise red flags, or speak up. They know how to spot missing information, ask the right questions, and run point on requests in a way that maximizes everyone’s time and impact.
This role also demands a strong sense of urgency, agility, and the ability to move quickly without compromising on quality.
Responsibilities
- Assess new project requests, identifying scope, potential risks, and missing requirements- filling gaps where needed
- Drive project plans, timelines, and deliverables; manage workflows from brief to delivery.
- Stay connected to the flow of team work—who’s working on what, what’s coming next, and where bottlenecks might arise.
- Maintain clean, informative, and action-oriented tickets in project management tools (e.g., Trello).
- Keep the team focused—help prioritize tasks and prevent unnecessary context switching or disruption.
- Coordinate and support project-related meetings, including kick-offs, status updates, and reviews—partnering with relevant leads to ensure clarity and follow-through.
- Share weekly updates and project status summaries with leadership and stakeholders.
- Campaign & Creative Management
- Support the delivery of brand-focused projects, campaigns, and events from inception to execution, ensuring alignment with team objectives.
- Coordinate production processes across creative, marketing, partners, and event workstreams, balancing priorities and deadlines.
- Help maintain asset libraries, applying consistent naming conventions and storage protocols.
- Ensure the right people are looped into projects at the right time.
- Think beyond production—help identify better, faster ways of working across the team.
- Assist in the creation of presentations and documentation, ensuring they reflect the team’s priorities, strategies, and deliverables.
- Partner with creative and marketing leads to support project kick-offs, align on direction, and ensure timelines are realistic
- Strategic Planning & Process Improvement
- Proactively identify and address inefficiencies in how the team operates.
- Build lightweight, scalable frameworks that improve clarity and accountability—without adding complexity.
- Stay attuned to how the team is functioning and where additional process, structure, or clarity is needed.
- Evaluate project management tools and implement enhancements to support team productivity.
- Vendor & Stakeholder Management
- Act as a key point of contact for all project stakeholders, ensuring clear communication, alignment, and timely feedback.
- Manage relationships with third-party vendors and partners, including agencies, video production teams, and experiential producers, to deliver high-quality results.
- Negotiate timelines, deliverables, and expectations with vendors to meet project goals.
- Confidently manage up, down, and across—adjusting your communication style for each audience.
Qualifications
- 5–7 years of project management experience, preferably within creative, internal comms, or marketing teams (agency or in-house)
- Strategic thinking and the ability to critically evaluate projects, ensuring deliverables align with the brief and objectives. Comfortable making judgment calls and providing solutions, rather than simply passing work for review.
- Strong time management and ability to prioritize multiple demands
- Demonstrated ability to manage complex, cross-functional projects from start to finish
- Familiarity with platforms, product development, or internal marketing
- Skilled in project management tools (e.g., Asana, Trello, Jira)
- Strong written and verbal communication skills
- Ability to manage multiple priorities and deadlines without sacrificing quality
- Comfortable working with ambiguity, building structure, and taking initiative
- Emotionally intelligent and able to navigate different personalities and work styles
- Experience collaborating with global teams across time zones
Good to have skills:
- Experience managing third-party vendors, including negotiating deliverables, timelines, and budgets.
- Experience working in a lean, fast-moving team or startup-style environment
- Exposure to content management systems (e.g., AEM)
