Overview

The Alchemy Operations team manages client-specific operational tasks across virtually every practice area within the agency, including Strategy, Investment, HR, Finance, Invoice Reconciliation, and Agency Administration & Compliance. We create a space for those whose strengths include being highly organized problem-solvers. We are seeking a highly organized and detail-oriented Planning Ops Supervisor to join our team. The ideal candidate will be responsible for overseeing and managing client budgets, entering and maintaining all inputs into Guideline (MediaTools), and ensuring the overall financial health of our organization. This role requires a strong understanding of budgeting and financial planning as well as an ability to manage diverse projects with a focus on accuracy and efficiency.


Responsibilities

Macro Tasks

  • Subject Matter Experts in MediaTools (Guideline) flowcharts and database management
  • Lead collaboration efforts across Ops, Strategy, and Investment teams
  • Responsible for the compilation and timely submission of internal and external financial deliverables
  • Proactively identify areas of improvements on existing workflows
  • Quality assurance
  • Reporting & Compliance

Daily Tasks

  • Managing client-specific billing procedures
  • Collaborate with team members and other departments to streamline financial processes
  • Assist with internal financial forecasting needs and tracking of financial performance
  • Enter and maintain records in MediaTools (Guideline), always ensuring accuracy and up-to-date information
  • Coordinate with other departments to ensure all financial documents and data entries are accurate and up to date

Qualifications

  • 3+ year experience in planning, operations, finance, project management or data analysis, preferably in a media agency or advertising agency
  • Bachelor’s Degree, preferably with a concentration in Accounting, Finance, Economics, Business, Advertising, Marketing, Communications, Applied Mathematics or related.
  • Proven experience in budget management, financial analysis, and strategic planning.
  • Excellent attention to detail, with an ability to spot numerical errors.
  • Strong organizational and analytical skills.
  • Proficiency in making progress/completing work, even with overlapping deadlines.
  • The ability to rock the Microsoft Office suite, particularly PPT and XLS (where filtering, pivoting, and charts and graphs building are key)
  • Quantitative and analytical skills, yet willingness to embrace a role that requires a mix of art and science.
  • Experience developing and presenting your thoughts and ideas.
  • Flexible and able to adapt to change in a fast-paced and constantly changing environment.
  • Brave voices who will suggest new ideas and challenge the status quo but can also help carry out the smart ideas of others.
  • Someone who likes to thrive on a team yet can also meet tight deadlines on independent assignments.

Compensation Range: $73,910-$85,000 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
