Key Responsibilities
1. Office & Workplace Management
• Manage end-to-end daily administrative operations, including office supplies, pantry/refreshments, mail/courier services, and printing equipment maintenance.
• Coordinate office layout, meeting room setup, and workspace allocation to support evolving business needs.
2. Facility & Premises Maintenance
• Supervise building maintenance, including electrical and general repairs; coordinate with engineering and external vendors as needed.
• Manage landscaping, pest control (e.g., snake prevention), and cleanliness across all zones (production areas, offices, warehouse, and outdoor premises).
• Ensure compliance with health, safety, and local regulatory requirements related to facilities and workplace conditions.
3. Security & Access Control
• Lead on-site security operations, including guard scheduling, patrol oversight, incident reporting, and emergency response coordination.
• Administer access control systems (door cards, biometrics) and CCTV monitoring; maintain up-to-date access matrices and conduct regular audits.
• Manage master key inventory and emergency access protocols.
4. Vendor & Service Provider Management
• Serve as primary point of contact for key service providers (cleaning, catering, waste disposal, transportation, etc.).
• Lead annual vendor pitching, evaluation, and contract renewal processes in collaboration with the Senior HR Manager.
• Monitor service quality, resolve issues promptly, and ensure cost-effective service delivery within budget.
5. Fleet & Transportation Support
• Manage company vehicle scheduling, maintenance, fueling, toll reconciliation, and driver overtime tracking.
• Process private vehicle reimbursement claims and coordinate travel logistics for employees and visitors.
6. Employee Experience & Engagement Support
• Organize seasonal employee events (e.g., festivals, birthdays, wellness activities) and support large-scale initiatives like annual dinners, family days and etc.
• Maintain inventory and distribution of HR/Admin-related free goods (e.g., promotional items, event supplies).
• Support onboarding/offboarding logistics, including workspace setup and access provisioning.
7. Compliance & Administrative Governance
• Maintain company licenses, certificates, and official records; manage renewals and government filings (e.g., foreigner visit invitations, local authority reporting).
• Assist with HR operational tasks such as OT/high-temperature allowance processing and local compliance documentation.
• Contribute to ISO/quality/safety audits by preparing admin-related documentation and implementing corrective actions.
