Role at a Glance:

The Office Coordinators play a critical role in accomplishing Paystand's mission, by supporting the overall CEO Office team to create a seamless operation and general experience for every Paystander, making sure the facilities run frictionless and helping the Culture and People team have everyone engaged.

Role & Responsibilities:

Workplace Events:

  • Execute Activities and Events: Carry out a variety of activities and events, such as special lunches, breakfasts, and team-building exercises, to promote a positive and efficient work atmosphere.
  • Support Event Logistics: Assist in the logistics and execution of various events, including Friday town hall meetings, offsites, and Holiday Parties to foster a high-efficiency work environment.
  • Provide Onsite Support: Offer support during office visits by C-level Executives, special guests, and events ensuring a seamless experience.
  • Execute Executive/Leadership & board meetings, quarterly plannings, and kick-offs.

Office Management:

  • Facilities Contact: Act as the main point of contact for facilities-related matters in assigned offices, ensuring smooth daily operations.
  • Procure Supplies: Handle procurement of necessary items for office activities, such as plants, AV gadgets, and other improvements.
  • Maintain Snacks and Setup: Ensure all office snacks are stocked and the setup supports smooth daily operations.
  • Vendor Research and Communication: Proactively research new vendors, gather information, and negotiate terms to secure cost-effective, high-quality solutions.
  • Travel for Setup: Travel to different locations to set up and maintain the desired look and feel of each office, aligning with Paystand's culture and aesthetic.
  • Support Operations in San Francisco Office: Travel 2-3 times per week to the South San Francisco Office to ensure smooth operations.
  • Assist with the follow-up on catered meals for the offices.

Experience at the office:

  • Set Up HQ Aesthetics: Travel to different locations to establish the desired look and feel of the main HQ.
  • Reflect Paystand Culture: Ensure each office embodies the Paystand culture.
  • Assist Senior Leadership: Work closely with the CSO and senior leadership team, assisting with operational needs.
  • Support Onboarding: Help with the onboarding process to ensure new hires have a positive start.
  • Enhance Company Culture: Contribute to shaping a vibrant company culture that aligns with our values and supports our mission towards IPO.

Gifts and Celebrations:

  • Coordinate Cultural Activities: Support the culture team on activities such as birthday celebrations and cakes, anniversaries, and other company events.
  • Arrange Gifts: Execute gift arrangements as needed for employees and special events.

Qualifications:

  • Bachelor’s Degree in Psychology, Administration, or related field desired.
  • Proactive and Driven: A go-getter and overachiever who can hit the ground running, demonstrating initiative and enthusiasm in all tasks.
  • Immediate Responsibility Handling: Demonstrated ability to handle significant responsibilities from the outset, showcasing reliability and competence.
  • Practical Problem-Solving: Practical problem-solving skills with a knack for creative solutions, ensuring efficient and effective resolution of challenges.
  • Attention to Detail: Meticulous attention to detail, ensuring tasks are delivered promptly and accurately, maintaining high standards of quality.
  • Project Management Expertise: Proven track record in project management, showcasing organizational skills, problem-solving abilities, and a commitment to seeing tasks through to completion.
  • Effective Communication: Excellent interpersonal, communication, verbal, and written skills to convey information clearly, effectively, and concisely to various stakeholders.
  • Autonomous and Reliable: Self-assured in working autonomously, consistently delivering results within designated timelines, and demonstrating reliability and independence in task execution.
  • Previous Office Manager experience preferably in a fast-paced, dynamic environment is a plus.
  • Experience and the ability to thrive in a fast-growing SaaS startup.
  • Bilingual - Spanish and English

  • $68,000 USD - $85,000 USD salary base + competitive equity in a high growth-stage startup.
