TITOL™ is seeking a highly organized and detail-oriented Administrative Assistant to support our Merchandise and Finance teams. This role will focus primarily on tracking and managing invoices for all of our POs, shipments, etc, while also overseeing the creation and management of project codes within our internal systems. The ideal candidate is hyper organized, can multi-task and can operate in a fast paced environment.
Working Environment:
In-office 5 days/week with occasional travel or on-site support required. May involve weekend or extended hours during peak seasons. Very fast-paced and detail-driven environment, with a focus on problem-solving, managing multiple parallel projects, and re-prioritizing tasks as necessary.

What You'll Do

  • Invoicing Support:
  • Upload all inbound invoices from vendors, partners, and suppliers in our internal system to ensure payments are made in a timely manner.
  • Monitor any communication related to POs and invoices tied to all projects and ensure accurate record-keeping in our internal system.
  • Liaise with vendors and suppliers regarding invoice discrepancies and payment timelines.
  • Work cross-functionally with the Finance and Production teams to ensure all financial data aligns with internal systems and project codes.
  • Project Tracking & Code Management:
  • Create and manage internal project codes for all production initiatives.
  • Maintain up-to-date records of project status across all active projects.
  • Support the Production team in tracking deliverables and progress linked to each project code.
  • Provide updates and reporting on the status of projects in relation to respective invoices/billing.
  • Sample & Logistics Coordination:
  • Coordinate daily local courier pick-ups/drop-offs and manage inbound and outbound shipments.
  • Oversee the intake, organization, and distribution of samples for internal use and external delivery.
  • Maintain cleanliness and order in sample storage areas, including archive pieces and reference materials.
  • Administrative & Office Support:
  • Ensure the office environment is organized, especially in shared spaces involving samples, materials, and archived items.

Who You Are

  • 2+ years of administrative or operations experience, preferably in an apparel production, logistics, or finance-related role.
  • Strong organizational and time-management skills with attention to detail.
  • Proficient in AirTable, Microsoft Office Suite and/or Google Workspace; experience with internal project management or finance tools is a plus.
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Experience working cross-functionally with multiple teams.
  • A proactive, solution-oriented mindset.
