Included Health is seeking a tenacious and adaptable Senior Executive Assistant to join our talented team and be the right hand to our Chief Executive Officer (CEO). As the Senior Executive Assistant to our CEO, you will be at the heart of our mission-driven organization, ensuring operational excellence and executive focus. You'll work closely with senior leadership, coordinate high-impact projects, and manage strategic priorities. The ideal candidate will be a strategic partner, capable of anticipating needs and executing tasks with precision and discretion. You are detail-oriented and enjoy working with a highly-motivated team in a dynamic, collegial, and fast-paced environment as we work together to elevate healthy outcomes for our members. This role is based in our San Francisco headquarters and is expected to be in office on a regular basis.
Responsibilities:
- Own and optimize the CEO's calendar and priorities with strategic foresight and minimal oversight — anticipating needs, navigating competing demands, and maintaining focus on what matters most.
- Coordinate complex travel arrangements, proactively manage logistics, and ensure the CEO is briefed, prepped, and resourced at all times.
- Act as a trusted partner and thought extension for the CEO. Draft communications, talking points, and briefing materials.
- Attend select meetings, capture key insights and follow-ups, and ensure continuity of action and messaging across stakeholders.
- Serve as a connective tissue across the executive team - ensuring information flows smoothly, meetings are purposeful and well-run, and the CEO's attention is directed where it's needed most.
- Help coordinate Board and leadership team materials.
- Own and execute internal initiatives (e.g., Board meetings, executive team retreats, special cross-functional projects). Bring rigor to planning, execution, and follow-through.
- Create and develop processes and tracking mechanisms to support budget management, annual planning, and quarterly reviews.
- Proactively manage and reconcile executive expense reports via appropriate process.
- Maintain efficient flow of information between all organizational levels, including internal and external stakeholders, on a wide spectrum of plans and priorities.
- Collaborate and coordinate across the organization, creating efficiency across the administrative peer group, as well as providing back-up support for other executive assistants with the team.
- Coordinate seamlessly across the CEO's professional and personal spheres, including Board engagements, advisory commitments, media appearances, and personal logistics, ensuring alignment, discretion, and proactive planning.
- Act as an extension of the CEO, representing the company both internally and externally as a brand ambassador.
- Travel expected to be at least once quarterly.
Required Qualifications:
- 7+ years of experience supporting C-level executives in high-growth, complex environments — or managing the dynamic personal and professional lives of high-profile individuals (e.g., founders, public figures, entertainment or media executives); experience in healthcare and/or technology sectors strongly preferred.
- Ability to work from the San Francisco headquarters regularly.
- Reliable and proactive, with a solutions-oriented mindset; relentless about finding ways to get things done effectively.
- Systems-thinker who enjoys conceiving and setting up efficient processes that get your executive leverage.
- A demonstrated ability to take initiative and to own projects from start to finish.
- Track record of being able to deliver results in a timely and professional manner.
- Exhibits composure and professionalism in a dynamic and fast-paced environment.
- Demonstrates strong organizational skills.
- Strong technical proficiency, including expert knowledge of Google Suite tools, Mac products, Zoom, and Slack.
- Excellent multi-tasking skills with an ability to prioritize tasks and work within deadlines with little supervision.
- A team player with a positive attitude, high emotional intelligence, maturity, sense of humor, and a passion for what you do.
- Impeccable judgment, discretion, and confidentiality in all tasks.
- Excellent verbal and written communication skills; you can communicate credibly and confidently at all levels.
Physical/Cognitive Requirements:
- Prompt and regular attendance at assigned work location.
- Ability to remain seated in a stationary position for prolonged periods.
- Requires eye-hand coordination and manual dexterity sufficient to operate keyboard, computer and other office-related equipment.
- No heavy lifting is expected, though occasional exertion of about 20 lbs. of force (e.g., lifting a computer / laptop) may be required.
- Ability to interact with leadership, employees, and members in an appropriate manner.
- Ability to travel at least once quarterly.
The United States new hire base salary target range for this full-time position is:
$141,557 - 198,185 + equity + benefits
This range reflects the minimum and maximum target for new hire salaries for candidates based on their respective Zone. Below is additional information on Included Health's commitment to maintaining transparent and equitable compensation practices across our distinct geographic zones.
Starting base salary for you will depend on several job-related factors, unique to each candidate, which may include education; training; skills; years and depth of experience; certifications and licensure; our needs; internal peer equity; organizational considerations; and understanding of geographic and market data. Compensation structures and ranges are tailored to each zone's unique market conditions to ensure that all employees receive fair and great compensation package based on their roles and locations.
