Positions in this function include traditional BSL duties including assisting with employee onboarding, asset management, recovery and returns, hardware, software, telecom services, and general ongoing support. Other duties include: Supporting multiple senior leaders, facility, copier services, reception duties, answering the telephone, typing/word processing of documents, spreadsheets and presentations, maintaining calendars and setting up meetings, making travel arrangements, copying, faxing, greeting visitors, setting up files, tracking expenses, and coordinating building and equipment maintenance.

Please note this is an office based opportunity in Nashville, TN.

Primary Responsibilities:

  • Must be professional and comfortable interacting with executive and senior level leaders; must also be prepared to handle the complexity of coordinating travel, meetings and visitors at this level. This position will be supporting multiple senior level leaders
  • Manage meetings (scheduling, material preparation and distribution, coordinating remote participants)
  • Manage calendars with ability to resolve multiple calendar conflicts
  • Handle confidential information professionally and discreetly
  • Onboarding/terminations and resource transfers
  • Asset Management, Asset recovery, Asset Returns
  • Software
  • Hardware
  • Telecom-related requests
  • Telecommuter related requests
  • Real Estate/Facilities Services – building access, move process, assigned workspace allocation
  • Knowledge related to tools, processes, policies and resources
  • ServiceNow Forms – 10 Forms restricted to BSL use only
  • Networking with the national BSL community
  • Act as administrative process guru and resource for the team
  • Recruiting – schedule candidate interviews and travel logistics
  • Schedule travel and manage expense reimbursement
  • Work is frequently completed without established procedures
  • Self – directed and works independently
  • May coordinate activities for other leaders
  • Provide internal and external customer service to employees, vendors and clients

Years of post-high school education can be substituted/is equivalent to years of experience

Required Qualifications:

  • Proven experience delivering a high level of internal and external customer service
  • Intermediate to Expert level Microsoft Word /PowerPoint / Excel / Word / Visio experience
  • Proven excellent verbal and written communication skills
  • Proven diligent attention to detail

Preferred Qualifications:

  • 5+ years of experience supporting executive – level staff members
  • 3+ years of experience creating and submitting expense reports
  • 3+ years of experience maintaining calendars and setting up meetings
  • 3+ years of experience making travel arrangements
  • Experience in healthcare
  • Demonstrated ability to multi-task and handle high-level projects/assignments
