Key Responsibilities:
Personal Assistant to MD:
-
Managing the calendar, including making appointments and booking of conference room.

Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department

Organize domestic and international travel, including booking flights, hotels, and creating detailed itineraries.

Submission of expenses claims
-
Coordinate with internal and overseas staff for obtaining approvals on signing of documents and cheques.
Office Admin Support:

Provide the daily admin / operation support to the office and ensure positive and productive work environment.

Ensure accurate maintenance of data and records, and timely renewals for memberships, licenses and correspondences with all relevant authorities, associations and chambers of commerce, etc

Assist in ensuring accurate records and timely renewals of all relevant insurances
-
Ensuring office supplies, stationery, and pantry supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies at all times.

Ensure the tidiness of office space and pantry.

Assist and coordinate on office event and meeting.

Liaise with dispatch and cleaning vendor

Assist in opening letter box, distribute mails.

Register door access for new staffs
-
Pick up and answer all incoming calls.

Company certificate / vehicle registration or renewal.
-
Manage staffs domestic and international travelling arrangement.
Skills & Experience:
-
Degree/Diploma in Business Administration, Management, Secretarial Studies, or a related field.

Minimum 5 years of experience in an Executive Assistant, Personal Assistant, or similar role.

Prior experience supporting senior executives in a fast-paced corporate environment.
-
Ability to prioritize tasks, manage multiple projects, and meet deadlines.
-
High integrity when handling sensitive and confidential matters.
-
Strong interpersonal skills to liaise effectively with internal and external stakeholders.
