Position Summary:
This job is responsible for providing experienced administrative, clerical, and/or customer service support to departments and managers within a function or field office.
Principal Duties and Responsibilities:
1. Prepares correspondence, distributes outside and interoffice communication, orders supplies and performs other administrative duties, as required.
2. Prepares Inspection Service Agreements, reports, presentations and spreadsheets as required.
3. Files documents maintaining client and inspector files per company procedures.
4. Performs customer service functions such as emailing invoices to select clients monthly, and addressing any other customers’ administrative concerns as required.
5. Ensure Deltek Time Sheet and Expense Reports meet accuracy and policy requirements prior to approval by Director of Operations.
6. Arranges conference calls and maintains calendars as needed.
7. Maintains client database with current information and provides audit and joint review scheduling or client certificate renewal.
8. Ensure inspector's State Applications are completed for inspector license renewal. Assist in the day to day operation of the area office.
Decision-Making Authority/Accountability Level:
Under general to limited supervision, provides general administrative support to a department or group of professionals. Exercises some discretion and independent judgment within limited authority level and is capable of analyzing routine information requests.
Minimum Knowledge, Skill, and Ability Requirements:
Demonstrates proficiency with copier and computer software, including current Windows Operating System, Microsoft Office, Microsoft Outlook, and other data entry and spreadsheet applications and programs. Spelling and grammatical skills of at least a high school level are required.
Education and Experience Preferred:
High school diploma with demonstrated experience required, Associates degree preferred.
2-5 years of experience.

None
Necessary Tasks:
Computer use required more than 50% of the work day. Phone use required 20% to 25% of the work day.
