Job Description:

Airbus Commercial is looking for an Executive Assistant to join our team in Wichita , Kansas.

This pivotal role requires a proactive, detail-oriented individual who thrives in a dynamic environment. Providing comprehensive and professional administrative support to our leadership team, primarily supporting the Vice President of Engineering, Engineering Chief of Staff, and Head of Wichita Engineering. The Executive Assistant will be instrumental in ensuring the smooth and efficient operation of our leadership's daily activities, allowing them to focus on strategic initiatives.

Your Working Environment

Located on the Wichita State University (WSU) innovation campus is Airbus’ first dedicated engineering facility outside of Europe. Our team of 200+ support staff and engineers focus on aerostructure design including analysis of aircraft primary structures, such as wings and fuselages, for all major Airbus products across the globe.

Your Challenges:

Executive-level Administrative Support - 50%

  • Provides sophisticated calendar management. Proactively manage complex calendars, including scheduling meetings across multiple time zones. Prioritizes inquiries and requests while troubleshooting conflicts with little guidance; makes judgments and recommendations to ensure smooth day-to-day engagements.

  • Organize domestic and international travel arrangements including booking of all flights, accommodations, visa arrangements, dining as needed, generation of itinerary and general coordination of approvals, as well as post travel claims.

  • Organize meetings, programs and events by arranging logistics (facilities, catering, etc), speakers and presentation material as necessary

  • Using discretion, act as a primary point of contact, screening and prioritizing incoming communications (emails, calls), drafting correspondence, disseminating information effectively, and recommending actions when necessary

  • Provide on-site support for meetings and visits, including room preparation, managing connections, and post-activity organization

Business Planning and Execution - 45%

  • Prepare meeting agendas, compile necessary documents, take accurate minutes, and track action items to ensure timely completion

  • Create, edit, and format presentations, reports, spreadsheets, and other documents to a high professional standard.

  • Work with Google Sites to create and maintain the team intranet site. • Manage transactions to ensure business efficiency: travel and expense approvals, purchase orders, etc.

  • Build and maintain strong, collaborative relationships with members in various departments and business units

  • Be familiar with and drive compliance to corporate policies and business processes (i.e. travel policy, expense policy, procurement and other business policies, etc)

  • Assist in gathering information to support decision making and planning, providing recommendations when necessary

  • Prepare internal and external communications

Additional Responsibilities - 5%

  • Problem-Solving: Independently identify and resolve administrative issues.

  • Project Support: Provide administrative support for various projects and initiatives as needed by the leadership team.

  • Complete projects and special assignments by establishing objectives, determining priorities, managing timelines, gaining cooperation of others, monitoring progress, problem solving, adjusting to plan as needed

  • Manage on-site tasks and activities as required (orders, deliveries, events, etc)


Your Boarding Pass:

  • Associates degree in Business or related field

  • 7+ years of progressive experience to Executive Assistant

  • 2 + years supporting senior leadership or Csuite executives

Preferred

  • Bachelor’s degree in business administration or marketing

  • Experience working with Airbus or Airbus affiliates

Required Knowledge, Skill, Demonstrated Capabilities

  • Proven experience as an Executive Assistant supporting senior-level executives, preferably within a large, global organization.

  • Exceptional organizational and time management skills with the ability to prioritize and manage multiple tasks simultaneously without close supervision.

  • Demonstrated ability to work independently, take initiative, and anticipate needs.

  • A high degree of professionalism, integrity, and the ability to handle confidential information with discretion.

  • Strong interpersonal skills and the ability to build effective working relationships with internal and external stakeholders.

  • Flexibility and adaptability to changing priorities and deadlines.

  • Able to support multiple managers as well as their teams with various requests/needs

  • Proactive and independent

  • Be well informed and familiar with the latest developments in AA1 business

Physical Requirements:

  • Onsite or remote: 100% Onsite.

  • Vision: able to see and read computer screens and other electronic equipment with screens, able to read documents, reports and engineering drawings.

  • Hearing: able to participate in conversations in person and via teleconference or phone and to hear sounds on the production floor including safety warnings or alarms.

  • Speaking: able to speak in conversations and meetings, deliver information and participate in communications.

  • Equipment Operation (personal computer, telephone, copies, fax machine, and related office equipment and using electronic identification card to enter building floors and internal doors): able to operate most office and personal electronic equipment and some tools including production tools such as hydraulic lifts.

  • Carrying: able to carry documents, tools, drawings, electronic equipment up to 30lbs/14kgs at least several times a month.

  • Lifting: able to lift documents, tools, drawings, electronic equipment up to 30lbs/14kgs at least several times a month.

  • Pushing / Pulling: able to push and pull small office furniture and some equipment and tools at least several times a month.

  • Sitting: able to sit for long periods of time in meetings, working on the computer.

  • Squatting / Kneeling: able to squat or kneel to retrieve or replace items stored on low shelving.

  • Standing: able to stand for discussions in offices or on the production floor.

  • Travel: able to travel independently and at short notice.

  • Walking (include routine walking such as to a shared printer to retrieve documents): able to walk through office and production areas including uneven surfaces.

  • Personal Protective Equipment required: Required PPE includes, but is not limited to, Safety Shoes, Safety Glasses, Hearing Protection, Respirators/Masks, and/or Protective Gloves as required by site and/or customer site.

  • Administrative position only PPE required: Steel-toed shoes are required for all shop floor visits, appropriate hearing/eye protection may also be required when visiting the shop floor.
